1. Who We Are

WMI Web Design ("we", "us", "our") is a web design business based in Sussex, UK, operating at wmiwebdesign.com. We build websites for tradespeople and small businesses.

For any privacy-related queries, contact us at: harry@wmiwebdesign.com

2. What Data We Collect

We only collect information that is necessary to communicate with you and deliver our services. This includes:

  • Your name and email address when you contact us via email or contact forms
  • Your phone number if you provide it voluntarily
  • Your business name and website URL, if relevant to an enquiry
  • Information you submit when booking a call through our scheduling tool (Calendly)
  • Basic analytics data about how visitors use our website (pages visited, time on site, device type)

We do not collect payment information directly — any transactions are handled through third-party processors.

3. How We Use Your Data

We use the data we collect to:

  • Respond to enquiries and quote requests
  • Schedule and manage discovery calls or project consultations
  • Deliver and manage web design projects
  • Send relevant follow-up communications about your project or enquiry
  • Improve our website and services based on usage patterns

We do not use your data for unsolicited marketing, and we do not sell or rent your data to any third party.

4. Legal Basis for Processing (UK GDPR)

Under UK GDPR, we process your personal data on the following lawful bases:

  • Legitimate interests — to respond to enquiries and manage client relationships
  • Contract performance — to deliver services you have engaged us to provide
  • Consent — where you have voluntarily submitted information through a form or booking tool

5. Third-Party Services

We use a small number of trusted third-party tools to operate our business. These tools may collect and process data independently under their own privacy policies.

Scheduling

Calendly

We use Calendly to allow visitors to book discovery calls and consultations. When you book a call, Calendly collects your name, email address, and any information you submit in the booking form. This data is stored and processed by Calendly, Inc.

Calendly is an independent data controller for data you submit through their platform. You can review Calendly's privacy policy at calendly.com/privacy. By booking through our Calendly link, you are agreeing to their terms as well as ours.

We receive your booking details (name, email, time, and any notes) via Calendly and use this solely to prepare for and conduct your scheduled call.

Analytics

Website Analytics

Our website may use analytics tools to understand how visitors interact with our site. This data is aggregated and anonymised where possible. No personally identifiable information is passed to analytics providers without your consent.

Hosting

Framer

This website is hosted and built on Framer. Framer may process technical data (such as IP addresses and server logs) as part of normal hosting operations. See Framer's privacy policy for details.

6. Data Retention

We retain your personal data only for as long as is necessary:

  • Enquiry data — up to 12 months from last contact if no project was started
  • Client project data — up to 6 years in line with UK business record-keeping obligations
  • Booking data via Calendly — subject to Calendly's own retention policies

You can request deletion of your data at any time by contacting us directly.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data ("right to be forgotten")
  • Object to or restrict how we process your data
  • Data portability — receive your data in a structured, machine-readable format
  • Withdraw consent at any time, where consent was the basis for processing

To exercise any of these rights, email us at harry@wmiwebdesign.com. We will respond within 30 days.

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).

8. Cookies

Our website may use cookies for analytics and functional purposes. Cookies are small text files stored on your device. You can control cookie settings through your browser preferences. Disabling cookies may affect some functionality of the site.

We do not use advertising cookies or sell data to ad networks.

9. Data Security

We take reasonable steps to protect your personal data from unauthorised access, disclosure, or loss. These include using secure email, reputable third-party platforms, and limiting access to project data to only those who need it.

No method of transmission over the internet is 100% secure. In the unlikely event of a data breach that affects your rights, we will notify you and the ICO as required by law.

10. Changes to This Policy

We may update this privacy policy from time to time. When we do, the "last updated" date at the top of this page will be revised. Continued use of our website after changes are published constitutes acceptance of the updated policy.

For significant changes, we will notify active clients directly by email.
